Most people don’t get “bad AI.” They get vague prompts.

AI will happily fill in missing details with guesses. That’s why a quick request like “write me an email” often turns into something that’s the wrong tone, too long, poorly formatted, or impossible to reuse.

The fix isn’t magic. It’s structure.

This post gives you a practical prompting method that consistently produces output you can actually use — in your business, with your brand voice, and in the format you need.

The goal of prompting is not “a response”

The goal is a usable deliverable.

That means your prompt should answer four questions up front:

  1. What are we making? (email / SOP / checklist / summary / JSON / plan)

  2. Who is it for? (customer / staff / leadership / vendor)

  3. What constraints matter? (tone, length, formatting, policies, tools)

  4. What does “done” look like? (final format + acceptance criteria)

The FIT Prompt Recipe

Use this template (copy/paste it and keep it handy):

Task:
What you need and why.

Audience:
Who will read/use it.

Context:
The key details the AI must know (bullet points).

Constraints:
Tone, length, must-include / must-avoid, legal/security guardrails.

Output format:
Exactly how you want the result structured (headings, bullets, table, JSON).

Examples (optional but powerful):
“One example of what good looks like” OR “here’s our style.”

Quality check:
“Before finalizing, list assumptions + ask any critical questions” (or “flag uncertainties”).

Three prompting upgrades that change everything

1) Ask for a specific format (you’ll use it more)

Bad: “Give me ideas for onboarding.”
Better: “Create a 10-step onboarding checklist with owner + time estimate per step.”

Formats that work well:

  • numbered checklists

  • SOP sections (Purpose / Scope / Steps / Exceptions / Owner)

  • tables (Problem / Recommendation / Effort / Impact)

  • structured JSON (when feeding automations)

2) Set tone like you’re briefing a writer

Tone isn’t “professional.” Tone is specific.

Try:

  • “clear, calm, confident — not salesy”

  • “short sentences, grade-8 readability”

  • “friendly but firm, no emojis”

  • “Canadian spelling, no exclamation marks”

3) Give it constraints so it stops guessing

Constraints reduce hallucinations.

Examples:

  • “If you don’t know, say so and suggest what to verify.”

  • “Do not invent stats. Use placeholders like [STAT] if needed.”

  • “Do not assume tools we didn’t mention.”

Practical examples you can steal

Example A: A customer email (tone + length + format)

Prompt:
Task: Draft an email to a client explaining we’re pausing an automation rollout until approvals are in place.
Audience: Non-technical operations manager.
Context: We found a risk where messages could be sent automatically without review.
Constraints: Calm, confident, not alarmist. 120–160 words.
Output format: Subject line + email body. Include 3 bullets for what happens next.
Quality check: Flag any assumptions.

Example B: SOP that your team can run

Prompt:
Task: Create an SOP for “Handling Website Contact Form Submissions.”
Audience: Admin + sales.
Context: We want every inquiry logged in HubSpot, tagged by service line, and replied within 1 business day.
Constraints: Simple language. Include exceptions and escalation rules.
Output format: Purpose / Scope / Tools / Steps / Exceptions / Owner / SLA.

Example C: JSON you can paste into an automation

Prompt:
Task: Create a JSON config object for an email triage workflow.
Context: Categories = Newsletter, Action Required, Billing, Internal, Spam.
Constraints: Output valid JSON only. Include fields: category, description, examples, priority, routingOwner, slaHours.
Output format: JSON only, no commentary.

The “Two-pass” trick: draft fast, then tighten

If you want consistently great results:

  1. Pass 1: “Give me a first draft quickly.”

  2. Pass 2: “Now rewrite it to match these constraints: [tone/format/length], and remove anything speculative.”

This mirrors how real teams write — rough first, refined second.

Quick safety note for SMBs

Don’t paste sensitive info into prompts:

  • passwords, API keys, private customer data

  • anything regulated or contractually confidential

If you need AI help on sensitive work, sanitize the details or use an approved internal setup.

AI can generate a lot — fast.

That’s both the opportunity and the trap.

Without a simple intake process, AI output becomes digital exhaust: drafts you never ship, notes you never revisit, and documents scattered across drives and chats. It feels productive in the moment… but it doesn’t compound.

This post shows how to turn AI output into usable, repeatable business assets.

The real problem isn’t AI — it’s “no finish line”

Most AI work fails because it ends like this:

“Cool. Copy/paste. Maybe later.”

Instead, treat AI output like any work product. It needs:

  • review

  • validation

  • formatting

  • storage

  • ownership

The FIT 4-Step Intake Process

1) Review for fit (does it match what you asked for?)

Check:

  • tone (too salesy? too formal? too long?)

  • scope (did it answer the right question?)

  • format (can you actually use it?)

If it’s close: revise. If it’s off: re-prompt with tighter constraints.

2) Verify what matters (don’t skip this on high-stakes work)

Use a simple rule:

  • Low stakes: quick skim and ship

  • Medium stakes: skim + ask for edge cases

  • High stakes: verify with source-of-truth (policy, logs, docs, humans)

A great habit:

“List anything uncertain, and what I should verify before using this.”

3) Convert into an asset (make it reusable)

AI output is rarely “ready” until it becomes one of these:

  • a checklist someone can run

  • a template your team reuses

  • an SOP with owners and exceptions

  • a short playbook (when to do X / when not to)

  • a config snippet (JSON, prompt template, routing rules)

If you can’t reuse it, it’s not an asset — it’s a one-off.

4) Store it where it will be found

Pick one “home” per type of thing:

  • SOPs → your ops wiki / SharePoint / Notion / Confluence

  • Templates → a Templates folder with naming standards

  • Prompts → a Prompt Library page

  • Decisions → a Decision Log (short and dated)

Then link it from where people actually work (HubSpot notes, project board, ticket, etc.).

Stop the “hard drive problem” with three simple rules

Rule 1: One home, one owner

Every artifact has:

  • a home (single source of truth)

  • an owner (who updates it)

No owner = outdated doc.

Rule 2: Name it like you’ll search for it later

Use a simple pattern:

  • topic — artifact type — version/date
    Examples:

  • email-triage — prompt-template — v1.0

  • client-onboarding — sop — 2026-01

  • hubspot-meetings — workflow-checklist — v1.2

Rule 3: Define “done”

For anything you’ll reuse, add a tiny “Definition of Done”:

  • correct tone + formatting

  • includes exceptions

  • includes owner + next review date

  • tested once in real life

A practical “AI Output Contract”

When you want output you can operationalize, add this to your prompt:

Output Contract:

  • Use headings + bullets

  • Include “Assumptions” and “Risks”

  • Include “Next actions” with owners

  • Keep it under X words

  • Provide a versioned template at the end

That one block turns vague output into something your team can run.

The difference between “AI content” and “AI operations”

AI content is: drafts, ideas, blurbs.
AI operations is: workflows + checks + templates + ownership.

SMBs win when AI creates repeatable leverage, not more scattered text.
