Ten ready-to-use prompts for small businesses that reduce busywork immediately — no tools, no integrations, just copy, paste, and get time back.
The simplest rule for getting value from AI: have a prompt ready before you need it. These ten are built for the tasks small business owners and operators hit every week. Copy them as-is, or adjust the bracketed sections to fit your context.
The simple rule¶
If a task is repetitive, text-based, and follows a predictable pattern, there's a prompt for it. The prompts below work in ChatGPT, Claude, Gemini, or any other general-purpose AI tool. No integrations, no subscriptions beyond the model itself.
1. Inbox triage¶
I have [X] emails to work through. I'll paste them below.
For each one, tell me: (1) does this need a reply today, this week, or not at all?
(2) What's the one-line action?
(3) Draft a short reply if one is needed.
2. Meeting notes → action items¶
Here are my raw notes from a meeting: [paste notes]
Convert these into: (1) a 3-sentence summary, (2) a bulleted action item list with owner
and due date where mentioned, (3) any open questions or decisions still needed.
3. SOP first draft¶
I need a standard operating procedure for [task name].
The audience is [role/experience level].
The tools involved are [list tools].
Write a step-by-step SOP with a brief intro, numbered steps, and a checklist at the end.
4. Client follow-up email¶
Write a follow-up email to [client name] after our meeting on [topic].
Tone: professional but warm.

5. Proposal executive summary¶
I'm writing a proposal for [client/project]. Here are the key details: [paste details].
Write a one-page executive summary that covers: the problem we're solving, our proposed
approach, key outcomes the client can expect, and a suggested next step.
6. Job post first draft¶
Write a job posting for a [role title] at a [type of company, e.g. small marketing agency].
The role involves: [list 3–4 responsibilities].
We're looking for someone who: [list 2–3 must-haves].
Tone: approachable and honest, not corporate. Keep it under 400 words.
7. Weekly team update¶
Write a brief weekly update for my team covering:
(1) what we completed this week: [list],
(2) what's in progress: [list],
(3) blockers or decisions needed: [list].
Keep it scannable with short bullets. Tone: direct and positive.
8. Difficult message rewrite¶
I need to deliver this message: [paste draft or description].
The audience is [relationship, e.g. long-term client, team member].
Rewrite it to be clear, respectful, and direct — without softening the core message.
Offer two versions: one slightly more formal, one slightly warmer.
9. Research summary¶
Summarize the key points from the following [article / report / transcript]: [paste content].
Format: (1) 3-sentence overview, (2) 5 key takeaways as bullets,
(3) one question this raises that I should investigate further.
10. Content idea generator¶
I run a [type of business] that helps [target customer] with [core problem].
Generate 10 blog or social post ideas that would genuinely help my audience.
For each idea, give: the title, the angle (what's the hook?),
and the format that suits it best (how-to, list, opinion, case study, etc.).
Safe use checklist¶
Before you paste anything into an AI tool, a quick sanity check:
- Does this prompt contain any client names, personal data, or confidential information? If yes, anonymize first.
- Is the output going straight to a client or is it a draft you'll review? Always review before sending.
- Are you using a work-approved tool, or a personal account? Keep business content in sanctioned tools.
